How to Apply for a Certification Letter for Examination Results from KNEC

Step-by-Step Guide to Applying for a KNEC Certification Letter

The Kenya National Examinations Council (KNEC) provides Certification of Examination Results Letters for applicants who have lost or damaged their certificates. This service has been available online via the Query Management Information System (QMIS) since February 2018. To apply, visit http://qmis.knec.ac.ke.

Required Documents

Applicants must upload the following documents during the online application:

  1. Copy of Certificate(s) or Result Slip(s)
    • Mandatory for all examinations.
    • Primary School Examination result slips from 2013 onwards must be printed from the KNEC system.
  2. Police Abstract
    • Proof of reporting the loss or damage of the certificate(s).
  3. National ID/Passport or Birth Certificate
    • For minors, include the parent’s or guardian’s National ID.
  4. Confirmation from the Registrar of Persons
    • Official confirmation of the applicant’s identity.
  5. Color Passport Photograph
    • Recent and mandatory for the application.

Application Fees

  • Fee: KES 5,220 (inclusive of VAT) per certification letter.
  • Payment is made via MPESA.
    • A unique Paybill and account number will be sent after KNEC verifies the uploaded documents.

Collection of Certification Letters

Applicants must collect their letters in person:

  • Adults: Present your original National ID or valid passport.
  • Minors: Accompanied by a parent/guardian with their original ID and the minor’s birth certificate.

Uncollected letters will be disposed of after two years, and fees paid are non-refundable.

Important Notes

  • Certification letters cannot be replaced once issued.
  • Processing takes 15 working days after all requirements are met.
  • Applications with missing or inconsistent details will be declined.
  • Applicants with name changes must provide legal documentation, e.g., marriage certificates or Kenya Gazette notices. Sworn affidavits are not accepted.

Guidelines for Post-School Examinations

Applicants for Post-School Examinations (Business, Technical, Teacher) must submit copies of result slips for all modules or parts of the course.

Application Rules

  • Applications are online only.
  • Applicants will only visit KNEC offices to collect processed letters after receiving an SMS alert.
  • Manual submissions, emails, or bank deposit slips will not be accepted.
